Who this covers
Blackwater Digital Solutions operates blackwaterdigital.net. This policy covers this agency website and inquiries you send us. A client's own website has its own privacy notice; this policy does not replace it. Questions can be sent to blackwaterdigitalsolutions@gmail.com.
Information you choose to send
The contact form asks for your name, business name, email, optional phone number, whether you have a website, your biggest business problem, and an optional message. We also record the submission time and the page address from which the form was sent, when the browser supplies it. Email correspondence includes what you send and our replies.
We use this information to assess and answer your request, prepare a demo or quote, and manage related project discussions. Sending a request does not add you to a mailing list or authorize a charge. We do not sell your personal information or share it for targeted advertising.
The client project form
Clients who decide to go ahead get a private link to a project form. It asks for business and contact details, services and prices, hours, service area, domain preferences, demo feedback, style preferences, and any files they choose to upload, such as photos and logos. We use these answers and files only to build and maintain that client's website. They are stored in Cloudflare (a D1 database for answers and R2 storage for files) and a notice is sent to the Blackwater inbox. Uploaded photos and logos may appear on the client's website once the client approves it. Files are not published anywhere else, and the form link only works for the client it was sent to.
The client request page
Clients get a private link to a request page for change requests, add-ons, and cancellations. It stores the request type, the details the client writes, and the time sent, in the same Cloudflare D1 database, and sends a notice to the Blackwater inbox. The page shows the client their own past requests and their status. The link only works for that client and can be turned off at any time.
The home page preview and sample forms
Typing into the home page preview changes the sample in your browser. Clicking its demo-request link puts the business name in the contact-page address to prefill the form. That address may appear in browser history and hosting request records; if you submit the form, the referring page address can be saved with the inquiry. Do not enter confidential information into the preview.
We count preview interactions, such as typing a name, changing the trade, and clicking the request link. Our event database stores only the event type, day, and total count, not the typed name, selected trade, IP address, or a visitor identifier. The labeled sample-demo booking forms show a demo notice instead of sending a booking request.
Hosting, analytics, and fonts
Cloudflare hosts and delivers this website. Like other hosting providers, it processes connection information such as IP addresses, requested addresses, and browser details to deliver and protect the site. This is separate from the fields saved in our contact and preview-event databases.
We use Cloudflare Web Analytics for page views, referral sources, device and browser categories, approximate countries, and page performance. Cloudflare describes this analytics service as cookie-free and says it does not log URL query strings. We use those reports to understand site use, not to identify visitors or target ads. See Cloudflare Web Analytics and Cloudflare's privacy policy.
To limit contact-form abuse, we use your network address to generate a keyed identifier that changes every ten minutes. We store that identifier, an attempt count, and an expiry time, rather than storing the raw address for this limit. Expired counters are deleted when another valid form attempt is processed; if there are no further attempts, expired identifiers remain until cleanup resumes. You can wait for the limit to reset or contact us by email.
Fonts are loaded from Google Fonts. Your browser connects to Google to request the font files, which exposes connection information such as your IP address and browser request headers to Google. See Google Fonts' privacy information and Google's privacy policy.
Our website code does not set advertising cookies, create visitor profiles, or use browser storage to track you across visits. The contact form uses a hidden spam-check field and a form-start time to reject obvious automated submissions. Browser or network tools can block third-party resources, although doing so may affect fonts or analytics.
Where information goes and who can access it
Contact submissions are saved in a Cloudflare D1 database. We also use the Blackwater Gmail inbox for correspondence. When form email notifications are enabled, a copy of the submission is delivered there through Cloudflare. If notifications are unavailable, the database still holds the inquiry.
Access is limited to Blackwater and authorized people or service providers helping with hosting, email, project administration, and your request. These services may process information in the United States and other countries where they operate. We may disclose information when legally required, to address abuse or security incidents, or to establish or defend legal rights. We do not publish your inquiry details on the website.
Client-service records can include account and project details, requests, correspondence, approvals, billing references, and documents or photos you provide. Client-facing records are separated from internal staff notes. Please use the hosted billing service for payment details, rather than sending payment-card numbers or passwords in messages or uploads.
How long we keep information
Inquiry records do not currently have a fixed automatic expiry: database entries and email copies remain until manually removed. We use them for responding to inquiries and related business records. You can ask us to delete an inquiry using the contact below. Records needed for an active project, an unresolved dispute, or a legal obligation may need to be retained; we will explain any applicable limitation.
Preview-event totals are aggregate daily counts without a visitor identifier and currently have no automatic expiry. Hosting and analytics records follow the relevant provider's retention practices. Deleting an active record does not necessarily immediately remove residual provider backups.
Client-service records do not currently share a single automatic deletion date. File access may expire separately from account, approval, correspondence, and billing records. A file becoming unavailable does not itself erase its audit history or copies held in email or backups. Privacy requests require review across those copies, including any records that must be retained for an active project or unresolved obligation.
Your questions and choices
Email blackwaterdigitalsolutions@gmail.com with the subject "Privacy request" to ask about, access, correct, or delete information you sent us, or to ask us to stop following up. Give us enough information to locate the inquiry, such as the email address you used and an approximate date. Do not send identification documents or passwords with the request. We may ask for proportionate verification before disclosing or deleting a record.
We will respond under the time limits and rights that apply to your request. If we cannot fulfill a request, we will explain why and any applicable review or appeal route. Nothing in this policy limits rights provided by applicable law.
Security and children
We use reasonable safeguards for the information we handle, but no website, email service, or storage system can guarantee absolute security. Please do not send payment-card details, passwords, or sensitive personal records through the contact form.
This business website is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child sent us information, contact us so we can investigate and remove it as appropriate.
Changes
We will update this page and its date when our practices change and provide any additional notice or choice required by law. New uses of information must be consistent with applicable law and the notices given when it was collected.
